It means that iDEAF will make sure that you know and understand what we do with your personal information and what control you have over your information. We will use clear language that is easy to understand.
iDEAF - London Deaf Information Service takes great care to follow all the legal rules in a law called “General Data Protection Regulation” also called “GDPR”.

The GDPR law says organisations like iDEAF must tell you
iDEAF knows and believes it is very important to keep your personal information safe and we take great care to make sure we use your information in the right way.

Contract = a legal agreement between two or more different people or groups
Controller = someone who controls
Cookies = small text files on your computer that collect information
Data = Information (we will use the word information in this policy)
Erasure = deleting
Legal obligation = a person or organisation has a legal responsibility to follow the law
Legitimate interests = the rule that allows the organisation to process information for good reason, but rules like legal obligation and your privacy rights will come first and will rule over this.
Opting Out = when you choose to leave or come out of something
Portability = move from one place to another
Privacy Notice = a notice that tells you how we collect, use, keep and share your personal information
Profiling = a computer puts together information about you and tries to identify your interests, your age, your health, etc
Rectification = making right or making changes
Vital interests = processing information to protect someone’s life
iDEAF - London Deaf Information Service are the controller of your information. We are called the ‘data controller’ the Information Commissioner’s Office (ICO) Guidelines say the data controller is the person who decides:

• how to use it - for example, with pen and paper? or on a computer in our office? or a computer in another country?

Your personal information:
When you use our services, we collect information from you and use it to process your request.
For example you may make enquiries, use our services such as receiving support from us, you may enrol on a BSL course, work voluntary with us or receive publications such as newsletters, factsheets and other information and services you might request from us.
Depending on what service you require from us we could collect details like:
Full Name, date of birth, address, contact details e.g. mobile numbers, landline or work phone numbers, email address and payment details for any purchases and any other personal information we need to process your request.
Without this information we may not be able to provide you with our services.
We can make our website look better on each device, so, we may also gather information about the device you are using to browse our website (mobile phone, desktop/laptop, and tablet), your web browser (Google Chrome, Mozilla Firefox, Microsoft Edge etc.) and your Internet Protocol (IP) address.
What is the law that allows us to process your personal information?
We are allowed to collect and process your personal information according to the limits explained in Article 6 of the GDPR.
But before we can process your personal information we must have one or more of the following:
Consent: This is when you have given clear agreement for us to process your personal information for a specific purpose like processing your order etc.
This means you know what we are using your information for. Permission can be received through phone, text, email letter etc. You have a right to opt out at any time in the future.
Contract: This is when we process your personal information because without it we cannot produce a contract with you, or because you have given us specific instructions using your information before entering into a contract.
Legal obligation: We use your personal information when we have to by law (not including contractual obligations).
Vital interests: Is when we process your information if it is necessary to protect someone’s life or e.g. for health reasons, we may have to share your information with the emergency services.
Legitimate interests: Processing your information is allowed if it is reasonably necessary for our interests or the legitimate interests of a third party, which is fair and reasonable.
But if there is a good reason to protect your personal information, your privacy rights will be more important than our legitimate interests.
But if it is a public authority processing your information to perform their official tasks their legal rights overrides your privacy rights.

Who do we share your information with, and why?
Marketing Companies (third party)
We choose companies to help us to process our electronic marketing communications. These companies will not be able to use your information for their own advertising purposes and they cannot sell your information to anyone else.
We want to be able to keep you up to date with the latest range of services we offer, exclusive adverts, and to update you on company information.
If you join our mailing list, we will be able to keep you updated regularly. You can also provide your email address and give us direct instructions allowing us to add your email address to our mailing list.
All information that we collect for our mailing lists will not be shared with any other companies for their own marketing purposes.

However, if you have already started using one of our services like a booking with us that has not been completed, we may contact you to update you on the progress so that we can complete your booking agreement with us. After completion, we will then remove you from our mailing list.

You may request a restriction or suppression of your personal information. In this situation, we are permitted to store your information, but we cannot use it or process it.
You have the right to copy, move or transfer your personal information from one IT environment to another.
You can protest to the processing of your own personal information but there are some situations where you will not have the right to protest, for example when it is a legal obligation, or it is in the vital interest of someone’s safety. However, you have an absolute right to protest to your information being used for direct marketing.
You may request that your personal information is not used in any automated individual decision-making. This is where a decision is made solely by automation (e.g. software) with no human involvement, or used in automated profiling (a computer puts together information about you and tries to identify your interests, your age, your health, etc).
